At Vinyasa Yoga Academy, we are deeply committed to the satisfaction, safety, and wellbeing of every student who engages with us — whether through our residential Yoga Teacher Training Courses in Rishikesh, international programs in Bali and Kerala, online YTTC certifications, or wellness and retreat offerings. This page sets out our refund and cancellation policy, community participation standards, grievance redressal mechanism as required under Indian law, and how to reach our support team.
Part A: Enrollment Fee and Refund Policy
1. Fee Structure Overview
As outlined in the Terms and Conditions, the total published fee for all VYA programs comprises two independent components:
- 20% Enrollment Consultation Fee — collected by Proponent Technologies Pvt. Ltd. before arrival
- 80% Course Fee Balance — collected by Vinyasa Yoga Academy on arrival in India
Each component is governed by its own refund and cancellation terms as set out below.
2. Enrollment Consultation Fee — Non-Refundable Policy (20% Component)
The Enrollment Consultation Fee collected by Proponent Technologies Pvt. Ltd. is strictly non-refundable under any circumstances. This fee covers consultation services that are considered fully rendered upon issuance of your enrollment confirmation.
The consultation service is deemed delivered upon completion of the following:
- Completion of your personalised course needs assessment
- Program recommendation provided based on your experience and goals
- Enrollment confirmation letter issued
- Pre-arrival orientation materials and guidance sent to you
- At least one follow-up communication confirming your arrival details
The non-refundable nature of this fee applies without exception to the following circumstances:
- Voluntary withdrawal from the program at any stage prior to arrival
- Medical or health-related issues arising before the course commencement date
- Inability to travel due to visa rejection, passport issues, or flight disruptions
- Changes in personal, professional, or financial circumstances
- Natural disasters, pandemics, global health emergencies, or other force majeure events (note: in such circumstances, VYA will make reasonable efforts to offer a batch transfer under Section 3.5, but the consultation fee remains non-refundable as the service has been fully rendered)
- Dissatisfaction with pre-course communication or administrative processes
We strongly advise all prospective students to review all course information, prerequisites, accommodation arrangements, and scheduling carefully before completing payment. Comprehensive travel and health insurance is strongly recommended prior to enrollment.

3. Course Fee Balance — Refund Policy (80% Component)
The course fee balance paid directly to Vinyasa Yoga Academy is also non-refundable once paid. The following specific policies apply:
3.1 Batch Transfer — One Time Only
If you are unable to attend the enrolled batch, the Course Fee Balance (80%) may be transferred once to a different future batch, subject to all conditions below. No cash refund is available.
- The transfer must be requested via Written Intimation to contact@vinyasayogaacademy.com
- For transfer to the immediate next batch: Written Intimation must be received at least 15 days prior to the original Batch Commencement Date
- For transfer to any later batch: Written Intimation must be received at least 30 days prior to the original Batch Commencement Date
- The transfer must be to a batch commencing within 12 months from the original enrollment confirmation date
- Transfer is subject to seat availability in the requested batch. VYA does not guarantee availability
- If the fee for the new batch is higher, the student must pay the difference. If lower, no refund of the difference is provided
- Once a transfer is availed, no further transfer, cancellation, or adjustment is permitted under any circumstance
3.2 When Transfer Is NOT Available
The batch transfer facility shall not be available in the following cases:
- The student has already joined or commenced the course, including attending orientation or the first session
- The required notice period (15 or 30 days as applicable) has not been met
- A transfer has already been availed once previously for the same enrollment
- The 12-month window from the original enrollment date has expired
- The student was dismissed for violation of the Code of Conduct
3.3 Early Departure
- If a student leaves the course early for any reason, no refund, adjustment, credit, or transfer shall be provided for the remaining unused period
- Accommodation, meals, and services already availed shall be considered consumed and are non-refundable
- If the student has not yet paid the full balance and departs early, VYA reserves the right to charge for services rendered at the applicable daily rate
3.4 School-Initiated Cancellation or Rescheduling
In the rare event that VYA cancels or reschedules a batch due to operational reasons such as insufficient enrollment, instructor unavailability, or facility issues:
- The student shall be offered a full transfer of fees paid to the next available batch at no additional cost
- VYA shall not be liable for any travel costs, visa fees, accommodation bookings, or other expenses incurred by the student in anticipation of the cancelled batch
- No cash refunds shall be issued for school-initiated cancellations except where VYA is unable to offer an alternative batch within 12 months, in which case a refund of fees paid directly to VYA (80% component only) shall be processed
3.5 Force Majeure
Neither party shall be liable for failure to perform obligations under these Terms if prevented by circumstances beyond reasonable control, including natural disasters, floods, earthquakes, pandemics, government orders, war, or civil unrest. In such cases:
- VYA shall make reasonable efforts to reschedule the affected batch
- Students affected shall be offered a transfer to the next available batch at no additional cost
- VYA shall not be liable for any consequential costs including travel, visa, or accommodation expenses
4. Online YTTC Programs
For self-paced online yoga teacher training courses, once access to the course platform or study materials has been granted, the enrollment fee is non-refundable under any circumstances. Please ensure you have reliable internet access and the necessary digital tools before enrolling in an online program.
Part B: Community Standards and Content Guidelines
5. Participation Guidelines
Vinyasa Yoga Academy fosters a welcoming, respectful, and spiritually enriching environment for yoga students from all countries, cultures, and backgrounds. All users of our website and community platforms must adhere to the following guidelines:
5.1 Encouraged Conduct
- Sharing authentic personal experiences related to yoga training and wellness at VYA
- Offering constructive, thoughtful feedback aimed at improving our programs
- Asking genuine questions about yoga practices, course logistics, and ashram life
- Celebrating your yoga journey and inspiring fellow students
5.2 Prohibited Conduct
- Commercial solicitation, spam, or unsolicited advertising of any product or service
- Defamatory, offensive, abusive, or discriminatory language directed at any individual or group
- Sharing false, misleading, or fabricated information about VYA, its faculty, or students
- Reproducing copyrighted content without authorisation, including VYA’s course materials
- Posting content that violates any applicable law, including the Information Technology Act, 2000
- Impersonating VYA staff, teachers, or fellow students in any capacity
5.3 Content Moderation
Vinyasa Yoga Academy reserves the right to review, moderate, approve, withhold, or remove any user-generated content at our sole discretion and without prior notice. User-submitted reviews and testimonials represent the personal opinions of individual students and do not reflect the official views of Vinyasa Yoga Academy, its management, faculty, or affiliates.
Part C: Grievance Redressal Mechanism
6. Grievance Officer
In accordance with the Information Technology Act, 2000, the IT (Intermediary Guidelines and Digital Media Ethics Code) Rules, 2021, and the Digital Personal Data Protection (DPDP) Act, 2023, Vinyasa Yoga Academy has designated a Grievance Officer to receive and resolve complaints relating to data privacy, digital content, enrollment, and service-related concerns.

8. How to File a Grievance
To file a formal grievance with Vinyasa Yoga Academy, please write to our Grievance Officer at contact@vinyasayogaacademy.com with the following information:
- Your full name and registered contact details (email and phone number)
- A clear and detailed description of your grievance or concern
- The relevant course, program, or service to which the complaint relates
- Dates and timeline of events leading to the grievance
- Supporting documentation, screenshots, or evidence where available

10. Escalation Process
If you are dissatisfied with the resolution provided by our Grievance Officer, you may escalate your complaint to the appropriate statutory authority under Indian law. Once constituted, the Data Protection Board of India (under the DPDP Act, 2023) will serve as the appellate authority for unresolved data protection grievances.
